An AI assistant becomes useful inside an organization when it can act on real records. That is also the moment it needs the clearest rules.
Define the boundaries first
Before a pilot, agree the user identity, the sources the assistant may read, the tools it may call, the output checks that apply, and the retention and audit requirements.
Propose, then confirm
High-impact or externally visible actions follow an approved confirmation and escalation model. The assistant can prepare and propose; an authorized person decides.
A convenient AI interface must never bypass the rules governing the underlying record.
Start bounded
- One use case and one business owner
- An agreed baseline and acceptance measures
- A deployment architecture that matches the data flows
